Preventive maintenance management can become complex for companies with many pieces of equipment, especially when equipment maintenance is regulated, inspected, or audited. Food manufacturers, cold storage warehouses, distributors, and other operational businesses often need clear records showing when maintenance was due, when it was performed, who completed it, and what details were recorded.
For this reason, many companies rely on ERP-based preventative maintenance software to help organize maintenance schedules, record completed work, support audits, and reduce the risk of missed maintenance activity.
When the ERP system determines that a preventative maintenance event is due, there may be situations where the event cannot be completed immediately. The work may need to be delayed because of production schedules, warehouse activity, unavailable equipment, staffing limitations, or other operational needs.
Previously, if a preventative maintenance event was not handled right away, the system did not retain the original date that the event was triggered. This information became important during audits, especially when equipment failed inspection or when an auditor needed to understand whether required maintenance was completed on time.
Inspired Technology Systems has enhanced its Preventative Maintenance System to automatically retain the Original Event Date when a maintenance event is triggered but not completed immediately.
This allows users and auditors to see that a preventative maintenance task may have been scheduled for one date, but was actually performed on a later date. The ERP system now keeps this information along with the other details entered by the operator.
This enhancement helps provide a more complete maintenance history. Auditors can use the original event date, completion date, operator-entered details, and recorded maintenance information to help determine whether equipment failure, malfunction, or inspection issues may have been connected to delayed maintenance or failure to comply with scheduled preventative maintenance requirements.
This improvement was requested as part of an SQF audit need and is now available for use within the Inspired Technology Systems Preventative Maintenance System.
Preventative maintenance in our Food Manufacturing ERP Software has also been improved with RF scan gun support for PM events.
Each preventative maintenance event can now be assigned a barcode. That barcode can be scanned from a printout while the PM event is being performed. After scanning, the user can follow system prompts to complete each required action associated with the maintenance event.
This process allows users to record required values, notes, readings, confirmations, or other maintenance details directly through the RF scanning process. It helps move preventative maintenance activity closer to the equipment, where the work is actually being performed.
Asset and component-specific barcode labels are also being developed to attach directly to assets and equipment. This will further improve the scanning process by allowing users to scan the equipment itself and complete the related preventative maintenance activity with less manual searching or data entry.
Once all actions have been completed and all required information has been recorded, the user can complete the event in real time with the scan gun.
