Inspired ERP now supports automatic customer email notifications when sales orders are cancelled, along with improved visibility for cancelled orders within the Sales Order search screen.
These updates improve communication between warehouses, customers, and customer contacts while also making cancelled order history easier to review and audit.
When a sales order is cancelled, the system can automatically send an email notification to designated customer contacts. Email notifications are only sent to contacts configured to receive order cancellation emails, so existing customer behavior does not change unless contacts are specifically enabled for these notifications.
At the customer contact level, users can enable a Yes/No setting that allows the contact to receive order cancellation emails. To receive notifications, the contact must be active, have a valid email address, and have the Order Cancellation Email flag set to Yes.
The cancellation email includes a direct link into the system so users can review the cancelled order and related activity. This allows customer contacts to view order details, order lines, audit information, and related order activity.
The feature helps improve customer communication while providing better visibility into cancelled order history and operational changes.
The Sales Orders screen has also been updated to improve cancelled order visibility. Previously, if an order was cancelled and searched by order number, the order would not appear in the search results, making it seem as though the order never existed.
With this update, cancelled orders now appear in search results, remain visible when searching by order number, and can be reviewed with related orders tied to the same PON or CON.
When searching for cancelled orders, the system now uses the PON, or Purchase Order Number, and CON, or Customer Order Number, when either exists on the cancelled order. If neither exists, the system falls back to the sales order number itself.
For example, if an order entered with PON 12345 is cancelled and a replacement order is later entered using the same PON 12345, both the cancelled and active orders can display together when accessed through the email link or related searches.
Cancelled orders are often part of normal warehouse and customer operations, especially when replacement orders, corrections, or changes are involved. By automatically notifying customer contacts and improving cancelled order visibility inside the system, Inspired ERP helps companies maintain clearer communication, better audit tracking, and improved operational transparency.
These improvements support distribution ERP software, food distribution, cold storage, and warehouse operations where order visibility and customer communication matter.
