Inspired Technology Systems has added Soft Lot Allocation functionality to the Inspired ERP and warehouse management system, giving warehouses more flexibility when picking lot-tracked inventory.

This feature allows companies to continue tracking inventory by lot or Manual Id without forcing warehouse users to pick from a specifically allocated lot during order fulfillment.

In many warehouse environments, especially food distribution, meat processing, and cold storage operations, inventory must remain fully traceable while still allowing warehouse teams flexibility during picking. Standard lot allocation systems often lock users into a specific lot once inventory is allocated to a sales order. In real operations, that can slow down warehouse activity and create unnecessary restrictions.

Soft Lot Allocation solves this by allowing pickers to select inventory from any available lot or Manual Id for a product while still maintaining inventory tracking and traceability throughout the process.

What Soft Lot Allocation Does

A new setting called Soft Lot/Manual ID Allocation is now available at the Item Master level.

When enabled, the system no longer strictly allocates lots or Manual IDs during picking. Warehouse users can pick inventory from any available lot or Manual Id for that product.

The system still recommends the next logical inventory based on the item allocation sequence, such as FIFO, LIFO, or lot sequence. However, warehouse users are not restricted to those recommendations.

This provides more flexibility during warehouse execution while still maintaining lot tracking throughout inventory movement, picking, shipping, and reporting.

Why This Matters in Real Warehouse Operations

Many warehouses need lot traceability but do not always operate in strict lot-picking order. In fast-moving environments, inventory may need to be picked from different lots based on warehouse accessibility, pallet location, operational efficiency, partial pallets, customer urgency, production timing, or real-time warehouse conditions.

Without Soft Lot Allocation, warehouse users can become restricted to system-allocated lots that may not make operational sense at the moment. Soft Lot Allocation allows warehouses to maintain traceability while giving warehouse staff flexibility to work with actual floor conditions.

Built for Food and Cold Storage Operations

This feature is especially important for food distribution, meat processing, manufacturing, and cold storage warehouse operations where lot tracking is required but warehouse execution must remain flexible.

Cold storage software environments often involve multiple pallets of the same item, mixed lot inventory, high-volume picking, rapid shipping activity, and changing warehouse conditions. Soft Lot Allocation allows these facilities to keep lot tracking in place while still allowing warehouse teams to pick the inventory that makes the most operational sense.

How the Setting Works

The Soft Lot/Manual ID Allocation setting is controlled at the Item Master level.

When the setting is No, lots and Manual IDs are strictly allocated and warehouse users must pick from the allocated lot or Manual Id selected by the system.

When the setting is Yes, lots and Manual IDs are not strictly allocated and warehouse users can pick from any available lot or Manual Id for that item. The system still recommends inventory based on the item allocation rules, but the picker is no longer restricted to those allocations.

Important System Behavior

When Soft Lot Allocation is enabled, order-entry-level lot requests are no longer allowed. The system assumes the warehouse will determine the actual lot during picking.

The setting also cannot be changed once inventory activity exists for the item. The flag cannot be modified if on-hand inventory, on-order quantities, or purchase order quantities exist. This protects inventory consistency and prevents allocation logic changes while inventory is active within the system.

Designed for Operational Flexibility

Soft Lot Allocation is designed to support real warehouse workflows without sacrificing inventory control or traceability. Warehouses can continue tracking inventory by lot and Manual Id while allowing warehouse staff the flexibility to pick inventory based on actual operational conditions instead of rigid system restrictions.
