Inspired Technology Systems continues to improve its ERP and WMS software with practical features that support order entry, inventory control, warehouse communication, pallet identification, weight collection, and real-time available quantity visibility.
These enhancements are designed for cold storage warehouses, frozen storage businesses, food distributors, and other inventory-driven operations that need better control over orders, pallets, lots, inventory availability, and warehouse activity.
For our Cold Storage Software, each putaway pallet can be tagged with a Manual Id. This flexible field allows users to enter a container Id, internal reference number, customer reference, shipment identifier, or any other value that helps the operations team identify inbound product as a bundle.
For many operations, the Manual Id should usually be treated as a one-time-use value. While the same Manual Id can technically be used again on a different inbound shipment, that may not be expected or preferred for most customers.
To help prevent confusion, the ERP system now includes a warning when the entered Manual Id has already been used in the past.
This enhancement can also help prevent the same inbound shipment from being entered into the system more than once. While this issue may not occur in every operation, it is reasonably possible in businesses where similar shipments, containers, paperwork, or pallet groups are being received and processed.
Software for the frozen storage industry and cold storage industry must support many different operational approaches. Some businesses need simple tools. Others need more advanced controls for larger, more automated operations.
The Inspired Portal ERP system is designed to remain practical and usable while still providing tools that support both smaller operational needs and larger warehouse environments.
It is common for outbound sales orders to be edited by multiple people throughout the order life cycle.
Sales, customer service, operations, warehouse users, and shipping personnel may all touch the same order at different stages. This can create problems when two users are editing or working on the same order at the same time.
Many WMS ERP systems struggle with locking issues, concurrent-use collisions, or situations where one user may unknowingly overwrite another user's changes.
Inspired Technology Systems has added messaging in the Sales Order section to warn users when someone else is editing or has recently edited the same order.
The goal is not only to prevent system conflicts, but also to improve communication between the teams involved in the order.
For example, a sales or customer service user may be creating or modifying an order while a warehouse employee attempts to release that same order for picking. The system can now help alert users to that type of overlap, reducing mistakes and encouraging better coordination between front office and warehouse teams.
ERP software often connects the front office and the warehouse. These order editing alerts help protect order accuracy when multiple departments are involved in the same transaction.
In service-based cold storage and food distribution operations, customers may request additional services on a sales order even when those services are not normally required for the item.
For example, a customer may request that weights be taken and supplied for a sales order line as an ad-hoc service request.
Inspired Technology Systems now supports this type of request in our ERP software for cold storage, frozen storage, and food distribution operations.
Traditionally, catch weight items require specific unit-level weights before shipment and invoicing. This enhancement supports a different need. A non-catch-weight item can still be fulfilled while requiring weights to be collected and supplied with the outbound paperwork.
This take weight feature forces the software through a weight collection step before outbound paperwork is provided. The completed paperwork can then include the weights for the fulfilled quantities.
This gives the business more flexibility when a customer asks for weights on an order that would not normally require catch weight handling.
Our warehouse management system now displays available inventory quantities directly during sales order entry.
Available quantity can be shown by item or SKU, and also by lot, Manual Id, and pallet Id. This gives users better visibility while they are entering the order, instead of requiring them to leave the screen or run a separate inventory inquiry.
This is especially useful when a customer is on the phone and the order is being entered in real time.
There may be situations where products, codes, lots, or items are interchangeable. If the user can see that a specific product is low or unavailable during order entry, the user may be able to quickly substitute another available product that meets the customer's needs.
This helps improve customer order fulfillment, reduce back-and-forth communication, and speed up the order entry process.
The combination of Manual Id warnings, order editing alerts, take weight handling, and real-time available quantity visibility helps users work with better information throughout the order and inventory process.
These features help reduce duplicate inbound entries, improve sales order communication, support customer-specific service requests, and give users better visibility into available inventory while orders are being created.
For food industry ERP software, cold storage software, and warehouse management systems, these details matter. Small improvements in order entry and inventory visibility can reduce mistakes, save time, and help the business respond faster to customer needs.
Inspired Technology Systems continues to enhance its ERP and WMS software around the daily work that actually happens in warehouse, distribution, cold storage, and food industry operations.
The goal is to help teams manage inventory, orders, pallets, lots, weights, picking, shipping, and customer requests with better accuracy and less confusion.
By connecting the front office, warehouse, inventory, and customer service teams in one system, the ERP software can help businesses improve communication and reduce the operational gaps that often lead to mistakes.
