What is a Document Management System?

A document management system helps businesses store, organize, search, preview, and retrieve important documents from one central location.

For companies that deal with customers, vendors, sales orders, purchase orders, invoices, appointments, assets, maintenance records, quality assurance documents, and operational paperwork, document management is not just about saving files. It is about being able to find the right document when it is needed.

Inspired Technology Systems provides document management directly inside our ERP software, allowing businesses to attach and manage documents where the actual business activity takes place.

Never Lose a Document Again

Documents are critical to daily operations, but finding them should not require digging through folders, emails, file cabinets, shared drives, or disconnected systems.

Our online document management system gives users a centralized place to safely store important business documents directly within the ERP system. This makes it easier to locate past documents, preview files, and keep related records connected to the right customers, vendors, orders, appointments, assets, or maintenance activity.

Instead of wasting time tracking down a misfiled document, users can search for the documents they need using the information already connected to the business transaction.

Search and Locate Business Documents Faster

Inspired Technology Systems document management helps users quickly locate documents across different areas of the ERP system.

Users can search for invoices related to a specific customer, documents uploaded for a vendor, files connected to specific orders and items, or documents tied to appointments recorded through the ERP system.

The system can also be used to store documents related to assets and preventative maintenance. This allows businesses to attach warranties, service contracts, inspection documents, maintenance records, equipment files, and other important asset-related documents directly to the appropriate record.

For warehouse, distribution, manufacturing, and food industry businesses, this can help reduce the frustration of misplaced documents and improve visibility into the paperwork that supports daily operations.

Document Management Inside the ERP System

Managing documents inside the ERP system helps keep documents connected to the business activity they belong to.

A customer invoice can stay connected to the customer. A vendor document can stay connected to the vendor. An order document can stay connected to the order. An asset document can stay connected to the asset. A maintenance document can stay connected to the preventative maintenance record.

This structure helps users find documents more naturally because the documents are stored near the related business information, rather than in a separate location that users have to search manually.

Our distribution ERP software and cold storage warehouse software are designed to support operational businesses that need better control over inventory, orders, customers, vendors, warehouse activity, and related documents.

Custom Document Search Criteria

Inspired Technology Systems ERP software includes customizable document search criteria to help users find documents faster.

Our system allows up to five distinct document search criteria to be set up for each document type managed in the ERP system. This gives businesses more control over how documents are organized, classified, and searched.

For example, if a company manages multiple quality assurance documents, a document search criteria type can be created for quality assurance documents. Additional entries can then be added for specific classifications, such as SQF documents, audit documents, inspection documents, or other quality-related files.

This flexibility allows each business to organize documents in a way that makes sense for its own operation.

Search Documents Using Key Terms

When a document is uploaded, up to five key terms can be associated with that document. Those key terms can later be used to search for one or many documents.

This makes it easier to locate documents by customer, vendor, order, item, appointment, asset, maintenance event, document category, or other business-specific information.

The goal is simple. Users should be able to store documents once and find them again quickly when they are needed.

Better Organization for Operational Businesses

Document management is especially important for companies that handle a high volume of transactions, customers, vendors, orders, warehouse activity, equipment, and compliance-related paperwork.

An organized ERP document management system can help reduce time spent searching for documents, improve internal visibility, support customer service, assist with audits, and keep important records connected to the right business activity.

Documents are critical to your business, but managing them should not require a full-time employee. Inspired Technology Systems online document management helps businesses get organized, save time, and reduce the frustration of searching for important documents.
